This policy explains what personal information Sentinel Projects collects, why we collect it, how we use it, and the choices you have. It applies to this website and to any enquiry you send us by phone, email or the contact form.

Who we are
Sentinel Projects is a fire door inspection, installation, remediation and passive fire stopping specialist based in Northampton, covering Cambridge, Oxford, London and the rest of the UK.
We are the data controller for the personal information described in this policy. If you have any questions about how we handle your data, you can contact us using the details at the end of this page.
Information we collect
We collect personal information in two ways: information you give us directly, and information collected automatically when you visit this website.
Information you give us
When you use our contact form, call us, or email us to book a survey or ask a question, you may give us:
- Your name
- Your email address and phone number
- Your organisation, if applicable
- Your building's postcode
- Details of the sector you work in and the service you need
- Any other information you include in your message to us
Giving us your name and email address is required to submit the contact form. Every other field is optional, and leaving them blank will not stop your enquiry reaching us.
Information collected automatically
If you agree to analytics cookies through the cookie banner, we collect standard website analytics information such as the pages you visit, how you arrived at the site, and the type of device you're using. We explain this in full in our Cookie Policy. If you do not agree, this information is not collected.
How we use your information
We use the information you give us to:
- Respond to your enquiry and arrange a survey or quote
- Deliver the work you've asked us to do, including any certification and documentation your fire risk assessor or insurer requires
- Keep a record of our correspondence with you
- Meet our own legal, accounting and insurance obligations
We do not use your information to send marketing communications unless you have separately and explicitly agreed to this. At present, our contact form does not offer a way to opt in to marketing, so no enquiry submitted through it is added to a marketing list. If that changes, this page will be updated to explain how to opt in and out.
Our lawful basis for using your information in the ways described above is that it is necessary to take steps at your request before entering into a contract with you (responding to your enquiry), to perform a contract with you (carrying out work you've booked), or to meet our legitimate business interests in a way that does not override your rights.
Who we share your information with
We do not sell your information to anyone. We share it only where it's necessary to run our business or where the law requires it:
- Brevo, our customer relationship management and email platform, used to store enquiry details and send you replies
- Google, for website analytics, only if you have agreed to analytics cookies (see our Cookie Policy)
- Subcontractors and suppliers, where necessary to deliver survey, installation or remediation work you've booked
- Regulators, insurers or legal advisers, where we're required to by law, or where it's necessary to establish, exercise or defend our legal rights
Each of these organisations only receives the information they need to do their job, and is required to keep it secure.
How long we keep your information
We keep enquiry and customer information for as long as we need it to deliver our services, meet our legal and accounting obligations, and defend our position in the event of a dispute. As a general guide:
- Enquiries that do not lead to work are kept for a reasonable period in case you get back in touch, then deleted
- Records relating to completed work, including certification and compliance documentation, are kept for as long as required by our insurance and industry obligations, as this documentation may be needed by you or your fire risk assessor for years after the work is done
- Financial records are kept for the period required by UK tax law
When information is no longer needed, we delete or anonymise it securely.
Your rights
Under UK data protection law, you have the right to:
- Ask us what personal information we hold about you, and get a copy of it
- Ask us to correct information that's inaccurate or incomplete
- Ask us to delete your information, in certain circumstances
- Ask us to restrict how we use your information, in certain circumstances
- Object to us using your information, in certain circumstances
- Ask us to move your information to another organisation, in certain circumstances
To exercise any of these rights, contact us using the details below. We'll respond within one month. If you're unhappy with how we've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent authority for data protection, at ico.org.uk.
Keeping your information secure
We take reasonable technical and organisational steps to protect the personal information we hold from loss, misuse or unauthorised access. This includes restricting who can access enquiry and customer records, and using reputable, security-conscious suppliers such as Brevo for storing and processing your data.
Changes to this policy
We may update this policy from time to time, for example if we start using a new supplier or offering a new way to get in touch. We'll update the date at the top of this page when we do. If a change is significant, we'll make that clear on this page.
